Privacy Policy

Last updated October 27, 2026

VDOLENS Photography, a registered trade name of Snow Giant Group (“VDOLens”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it and how we protect it, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).

Information we collect

  • Inquiry details you send us: names, email, phone, event date, venue, guest count and anything you share about your plans.
  • Booking details: billing name and address, event timelines, questionnaire answers, signed agreements and invoices.
  • Payment information: card payments are processed by Stripe. We never see or store your full card number. Interac e-Transfers are recorded by amount, date and reference.
  • Photographs and film we create at your session or event.
  • Gallery and website activity: when guests view a gallery or an Heirloom wedding website we may record an email address you provide, favourites, downloads and RSVP responses.
  • Website analytics: anonymous usage data through Google Analytics to understand how our site is used.

How we use it

  • To reply to your inquiry, prepare quotes, agreements and invoices, and deliver our services.
  • To plan your session or event with our team members assigned to it.
  • To deliver your photographs, films and Heirloom website.
  • To send service emails such as reminders, receipts and delivery notices.
  • To send occasional marketing emails (such as mini-session dates) only if you opted in. Every marketing email includes a way to unsubscribe, as required by CASL.

Sharing

We do not sell your personal information. We share it only with trusted providers who help us run the studio — such as cloud hosting (Amazon Web Services, in Canada where available), email delivery (Resend), payments (Stripe) and analytics (Google) — and only as needed to provide our services, or where required by law.

Portfolio use of images

As described in your agreement, we may use a selection of images in our portfolio, website and social media. If you would prefer we don’t, tell us in writing and we will respect it. We never publish images of children in identifiable ways without a parent’s consent.

Storage and retention

Client galleries are stored securely in the cloud. Galleries remain available for at least 12 months after delivery, and Heirloom wedding websites for two years after the wedding, unless agreed otherwise. We keep business records such as invoices and agreements for as long as Canadian tax law requires (generally six years). We recommend you keep your own backup of your photographs.

Your rights

You may ask to access or correct the personal information we hold about you, or withdraw consent to marketing at any time. Contact us and we’ll respond within 30 days.

Security

We use encrypted connections, private storage, unguessable links and optional PIN protection for galleries. Staff access is limited by role.
