Terms of Service

These terms apply to services provided by VDOLENS Photography, a registered trade name of Snow Giant Group (“VDOLens”). Each booking is also covered by a written agreement; if anything in your agreement differs from these terms, your signed agreement applies.

Bookings and payment

• Your date is reserved once your agreement is signed and a 50% non-refundable retainer is received.
• The remaining 50% balance is due on the day of your event, unless your agreement says otherwise.
• All prices are in Canadian dollars and subject to 13% HST (HST #72070 5169 RT0001).
• Travel and parking are quoted as estimates in your agreement and billed as incurred.
• Payment is accepted by credit card through our secure payment provider or by Interac e-Transfer to billing@vdolens.com.

Changes, rescheduling and cancellation

• We’re happy to reschedule once, subject to availability, with the retainer applied to the new date.
• If you cancel, the retainer is non-refundable because we decline other bookings for your date. Amounts paid beyond the retainer are refunded if cancellation is more than 30 days before the event.
• If we are ever unable to attend due to illness or emergency, we will arrange a qualified replacement photographer from our team or network. If that isn’t possible, we refund all payments received.

On the day

• Coverage time begins at the agreed start time. Additional time can be added on the day at our standard hourly rate, when available.
• For events longer than five hours, a hot meal and short break for each team member is appreciated.
• We follow the photography rules of your venue and officiant, which may limit positions or flash.

Delivery

• Estimated delivery times are stated in your agreement. Images are professionally selected and edited in our style; unedited files are not provided.
• Galleries are delivered online and remain available for at least 12 months. Please download and back up your images.

Copyright and image use

• VDOLens retains copyright in all images and films. You receive a personal-use licence to print, share and post them with credit appreciated.
• Commercial use of images (for example by vendors or for advertising) requires our written permission.
• We may use selected images for our portfolio and marketing unless you request otherwise in writing.

Liability

Our total liability for any claim relating to our services is limited to the amount you paid for them. We are not responsible for missed moments caused by venue restrictions, guest interference, weather or schedule changes outside our control.

Governing law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there.
